2005-09-07 The relevanc of the document administration arises

Document systems rise in the value for users – MiCLAS. makes sure and extends the document administration.
Nowadays numerous companies fall back to systems for document management (DMS). The electronically supported administration of the documents gains every day more significance. The main reason for that is the constantly growing process orientation.
These facts are circumstantiated in the article „document systems rise in the value for users” in the current version of the “computer magazine” (No. 36 2005, 05.09.2005) with airtight figures.
For this analysis altogether 200 companies were interviewed on behalf of the DMS-academy. The DMS-academy is a joint-venture of the consulting-companies Pentadoc and DMS-consulting.
Stephanie Keil, CEO of the academy, sees the substantial advantages of the DMS use that not only a strategical company solution will be offered, but also the possibility exists to digitize the arrived documents as early as possible, on the other hand to storage that on a long-term-basis. Therefore the DMS use in the post-office inbox increased strongly (see diagram). According Keil the the necessary technologies for the optical character recognition (OCR and ICR) have been improved substantially.

The companies prepare itselfs for the legal rules to reproaching digital documents. The interests arise most strongly in the post office entrance processing: In comparison to the current use the part of companies which want to use equal systems in the near future arised around 17 per cent point on 72 per cent.

In the meanwhile 69 per cent of the companies set on a DMS-technolgy, further 19 per cent plan an equal solution at least in the introduction phase.
Also we react on such trends. Thus we offer to our clients not the in the MiCLAS.-basic module contained standard document-system, but also starting from the MiCLAS. version 5.5. an extended document administration.
Keyfeatures of this new document-systems are:
  • a simpler and faster search
  • assignment of key words
  • the possibility already linked files further to link
  • integrated email-transfer of archieved documents

Thus are possible a more organized, a more structured, a simpler and and thus above all a more economical function – the paperless office approach.
